Register the asset once
Create an asset with its type, manufacturer, model, serial number, purchase date and price. If you leave the tag blank the system auto-generates one (e.g. ORG-DEL-LAP-0001) and mints a QR code you can print and stick on the device.

Assign it and capture acknowledgment
Assign the asset to an employee with a purpose and location. The IT declaration form records their details and a digital signature, and generates a handover PDF for your records.

Track lifecycle events
Log maintenance (preventive, corrective, repair, upgrade, inspection) with cost and downtime, move devices with the transfer workflow, and check items in and out — every event stays on the asset history.

Let alerts chase the deadlines
A daily task scans warranty end dates and raises alerts at 30, 14 and 7 days before expiry, plus maintenance-due alerts, so nothing lapses silently. Automation rules can also open a ticket or email a recipient list.

Retire and report
Record disposal method, reason and value at end of life, and export the full register to CSV or XLSX for audits and finance.

Say a 180-employee media agency refreshes 40 laptops in a quarter. Each is registered on arrival — tags like ORG-LEN-LAP-0007 and QR labels generated automatically, warranty end auto-calculated from purchase date plus warranty years, depreciation stored at the default 20% a year. Editors sign the on-screen IT declaration and a handover PDF is filed against each asset. Eleven months on, the first batch hits its 30-day warranty alert, so IT extends cover on the machines worth keeping and records disposal — method, reason and residual value — for two damaged units, all on the register finance exports to XLSX at year-end.

Frequently asked questions
Do I have to invent asset tags myself?
No. If you leave the tag empty, the platform builds one from the organisation, manufacturer and type prefixes with a running sequence (for example ORG-DEL-LAP-0001), so tags stay consistent without manual bookkeeping.
How does warranty expiry get flagged?
A daily background task compares every asset’s warranty end date to today and creates alerts at 30, 14 and 7 days out. Warranty end can auto-calculate from the purchase date and the number of warranty years you enter.
Can employees formally acknowledge the devices they receive?
Yes. Assignment can capture a signed IT declaration — employee details, purpose, condition and a digital signature — and produce a declaration/handover PDF that is stored against the asset.
Is depreciation and current value tracked?
Each asset stores a depreciation rate (20% a year by default) and a salvage value, and the system can compute a current book value from the purchase price and time owned.
What happens to an asset at end of life?
You record the disposal date, method, reason and disposal value, and the asset moves to a Disposed/Retired status while its full maintenance and transfer history is retained.
Can I move a large inventory in without hand-typing it?
Yes — assets can be bulk-imported from CSV, and the register exports back out to CSV or XLSX for audits and finance reconciliation.
How is asset management priced?
